Data Protection Policy
The General Data Protection Regulation (GDPR) that replaces the 1998 Data Control Regulation is designed for the protection of personal data and preventing it being accessed or used inappropriately, has been embraced by Photographers with Disabilities (PwD).
For PwD to operate, it is necessary to know who its members are and to have sufficient details so that members, Parent/Guardian and carers can be contacted. It is also necessary for PwD to be aware of any special needs associated with their disability.
For all current members, PwD holds their name, date of birth, postal address, email address, telephone numbers, disability, needs and interests and membership history.
Attendance records of members and visitors are kept by the Treasurer and will be kept for a period of five years as part of the financial records of PwD. They also identify those members who have attended photoshoots where a Model Release Form exists which will attribute copyright of any photographic image taken by the member/photographer taking part and form part of the contract with the model. These records will be kept indefinitely
Additionally, members may upload photos into the web gallery which are tagged with their name. Access to the web gallery, for control of its content, is administered by the Webmaster. Members are identified by name and email address and have password access to add or amend personal details.
The personal data held will be made available, in part or in whole, only to those Trustees that need it to allow them to carry out their duties. The personal data is held and maintained securely by the Membership Secretary.
PwD will not provide other organisations or individuals with any names or other details of members from the information it holds unless specifically agreed by the member.
Members may request that any inaccuracies found in their personal data be corrected without undue delay.
Members may also request that personal data be removed from the PwD files, even though such a request may mean they may not be informed of forthcoming events and activities. Upon receiving such a request, the data will be removed without undue delay (and within 28 days).
Equally if a member of PwD leaves or resigns from PwD, their personal data will be removed within 28 days of issuing a notification of leaving. However, for historical purposes, all member’s names, with membership history, will be retained.
